Fixed-price audit
Automation and AI Opportunity Audit
Before anyone picks a tool, we read your business. We map how work actually moves through your company, price every automation and AI opportunity in hours and dollars, and tell you where to start and where not to.
Start with a short intro call. If it fits, the audit is the first paid step.
- Price
- $2,000
- Fixed. No hourly billing.
- Your time
- Two sessions
- Short working sessions with the people who do the work.
- You receive
- A live report
- Ranked opportunities, quick wins with fixed prices, 90-day roadmap.
When the audit makes sense
You run on 5 to 50 people and a stack of SaaS tools
CRM, accounting, helpdesk, spreadsheets. Work moves between them by hand and nobody has written down how.
You have been asked "what should we do about AI"
And you want an answer in hours and dollars, not a list of tools to try.
You already automate and it is getting fragile
Scenarios fail quietly, one person understands them, and nobody knows what they cost.
How it works
- 1
Intro call
20 minutes. We check the fit, agree who should be in the room and what systems we may look at.
- 2
Session one: how the work runs
We walk through your main processes with the people who do them, from the first trigger to the last step. We time each step and note where work waits.
- 3
Session two: systems and data
We look at the tools, the data in them and the automations you already run. Read-only access where possible, screen share where not.
- 4
Report walkthrough
We present the live report, go through the ranked opportunities and agree what, if anything, to build first.
Five lenses on every business
- 1
Process inventory
What repetitive work exists, who does it, how often, how long.
- 2
Opportunity scoring
What is worth automating first once effort, risk and payback count.
- 3
AI readiness
Whether ownership, data and governance can carry AI safely.
- 4
Automation health
Whether today's automations are reliable, owned and worth the cost.
- 5
Data and systems map
Where data lives and which flows are still manual or broken.
What we listen for
People can rarely name their bottlenecks, but they recognise them. These are the patterns that usually point to money.
- Data copied by hand from one system to another
- A spreadsheet doing the job of a database
- "Someone checks it every morning"
- The same email written again and again
- Work that stops when one person is on holiday
Measured in money
Every opportunity gets hours and dollars per month, from your numbers. Revenue upside is noted, never counted.
Conservative on purpose
We show the low estimate and assume a person stays in the loop. One inflated figure ruins trust in the rest.
Process before tools
We map the work first and pick the technology after. We never start from where to use AI.
What the report looks like
A live report, not a slide deck. This one is an invented example to show the format: start on the process map, then open the opportunities, readiness and health views.
Closed deal to cash Finance, 60 invoices per month, rebuilt from CRM, accounting and email timestamps
- Average days, deal won to paid
- Hands-on hours per month
- Invoices corrected by hand
Paths cases actually take. Select one to trace it.
Built the way process mining works: every step is a timestamped event, every line is the share of cases that moved from one step to the next. Illustrative figures. The map shows the full effect of automating this process, which matches the Expected estimate on the Opportunities tab; that tab defaults to the lower Conservative estimate. In a real audit we draw this from your own systems or from walking through recent cases with your team.
- Hours freed per month
- 0
- Value per month
- $0
- Value per year
- $0
- Payback, top three
- 0 mo
Value = volume x minutes saved x share that can be automated, divided by 60, times the hourly cost of the work. Top three by first-year return are marked as quick wins. Each quick win has a fixed build price, agreed before you commit.
- Ownership2 / 5
No named owner for automation or AI decisions
- Data3 / 5
Core records in the CRM, finance data still in sheets
- Systems4 / 5
Modern SaaS with APIs, easy to connect
- Governance2 / 5
No usage policy, staff already use AI tools on their own
- Skills3 / 5
A few daily users, no internal champion yet
- Process clarity2 / 5
Key processes live in people, not in documents
Total 16 of 30: start with rule-based quick wins and AI-assisted steps with human approval. No autonomous agents yet.
Existing automations work most days but fail quietly and depend on one person. Fix these before adding more.
- Error rate, last 30 daysHealthy is under 2%. Two scenarios cause most failures.3.8% (watch)
- Silent failuresNo error handler and no alert. Nobody knows when they stop.5 scenarios (at risk)
- Unused scenariosNot run in 30 days. Candidates to retire.4 (watch)
- CredentialsConnections owned by a former employee and a freelancer.3 personal (at risk)
- Plan usageUnder the 70% line, room to grow.62% (healthy)
- People who understand itOne person holds the knowledge. A holiday is a risk.1 (at risk)
- Month 1

Automation and AI Opportunity Audit
$2,000
Fixed price. Two short working sessions with your team. We confirm the time needed on the intro call.
Book the auditWhat you receive
- Process maps of your main flows, with timings and waiting steps
- Ranked opportunity table with hours, dollars, effort, risk and payback
- Three quick wins, each with a fixed build price and timeline
- AI readiness scorecard and the governance gaps behind it
- Health check of your Make.com or n8n automations, if you run them
- 90-day roadmap you can hand to any team
The report is yours to keep. If a quick win is worth building, we build it at the price in the report. If not, you have a plan any team can execute.
Questions we get asked
- What do we need to prepare?
- Nothing in advance. We ask for the people who do the work to join the sessions and, where possible, read-only access to the main systems. We do the rest.
- We have no automation yet. Does the audit still make sense?
- Yes. Most clients start here. The automation health check is simply skipped and the time goes into the process inventory.
- What happens after the report?
- The report is yours to keep. If a quick win is worth building, we build it at the fixed price in the report. If not, you have a plan any team can execute.
- Which tools do you cover?
- Any system with an API or an export. In practice: CRMs, accounting, helpdesks, project tools, spreadsheets, and automations built on Make.com, n8n or Zapier.
- How are the figures calculated?
- Volume times minutes per run times the share that can be automated, divided by 60, times the hourly cost of the work. Every input is shown in the report so you can challenge it.
Start with a short call.
We check the fit, agree who should be in the room, and book the two sessions. If the audit is not the right step for you, we say so.
