What's the process to set up and use the chatbot feature in HubSpot?

Step 1: Log into Your HubSpot Account

  • Navigate to the HubSpot login page.
  • Enter your credentials to access your dashboard.

Step 2: Go to the Conversations Tool

  • On the left sidebar, click on the "Conversations" tab.

Step 3: Access Chatflows

  • Within the Conversations dashboard, click on the "Chatflows" option.

Step 4: Initiate a New Chatflow

  • Click on the orange "Create chatflow" button located on the right side.

Step 5: Choose "Website" as Your Channel

  • You'll be prompted to select where you want your chatbot to appear. Choose "On your website."

Step 6: Select the Chat Type

  • Opt for "Bot" from the given options.

Step 7: Design Your Bot's Greeting

  • Draft a welcoming message that users will see when they first interact with the chatbot.

Step 8: Set Up Bot Actions

  • Click "Add" to insert an action.
  • Start by selecting "Send a message" to make your bot provide a response.
  • Follow by adding more actions, such as:
  • Asking a question.
  • Qualifying a lead.
  • Setting property values based on user responses.
  • Routing the conversation to a team member, if necessary.

Step 9: Customize the Appearance

  • On the right-hand panel, adjust the chatbot's appearance to align with your brand. This includes:
  • Color scheme.
  • Chat window position.
  • Bot avatar.

Step 10: Set Display Rules

  • Define when and where your chatbot should appear on your website.
  • You can set rules based on:
  • Specific website pages.
  • Visitor behavior or source.
  • Returning visitors vs. new visitors.

Step 11: Save and Activate Chatbot

  • Once you've customized your chatbot to your preference, click the "Save" button at the top right.
  • Toggle the switch at the top from "Inactive" to "Active" to deploy your chatbot.

Step 12: Embed the HubSpot Tracking Code

  • If you haven't already, ensure the HubSpot tracking code is installed on your website.
  • This allows HubSpot to display the chatbot on your website.

Step 13: Monitor and Optimize

  • Regularly check the "Conversations" tab to oversee interactions with your chatbot.
  • Analyze user responses and questions to fine-tune your chatbot's actions and messages for better engagement and efficiency.
