Step 1: Prepare Your Offline Event Data

  • Compile a list of attendees from your offline event. This could be from sign-in sheets, registration lists, or any other data collection method you used.
  • Ensure the list contains essential data like names, emails, phone numbers, company names, etc.

Step 2: Log in to HubSpot CRM

  • Go to the HubSpot CRM homepage and log in using your credentials.

Step 3: Navigate to Contacts

  • On the main dashboard, click on the "Contacts" tab at the top to access the contacts section.

Step 4: Import Your Offline Event Attendees

  • Click on the "Import" button, typically located on the right side.
  • Choose "Start an import," and select "File from computer."
  • Upload your compiled list of attendees. HubSpot supports .CSV file formats.

Step 5: Map Fields

  • During the import process, you'll be asked to map fields from your .CSV file to the contact properties in HubSpot. This ensures that the data is stored correctly.
  • Map fields like "First Name," "Last Name," "Email," etc., to their corresponding fields in HubSpot.

Step 6: Create a Custom Property for Event Tracking

  • To specifically track these contacts as offline event attendees, it's helpful to create a custom property.
  • Navigate to "Settings" (gear icon) > "Properties."
  • Click "Create a Property" and name it something like "Offline Event Attended."
  • Set the field type to "Single-line text" or "Dropdown select" if you host multiple offline events.

Step 7: Tag Attendees with the Event Name

  • Go back to your list of imported contacts.
  • Filter or search for the recently imported list.
  • Bulk select all the attendees.
  • Update the custom property "Offline Event Attended" with the specific name or details of the event.

Step 8: Utilize HubSpot's Filtering for Future Engagements

  • In the future, you can use HubSpot's filtering tools to segment contacts based on the offline events they've attended.
  • This allows you to send targeted follow-ups, offers, or other engagement campaigns to those who attended specific offline events.

Step 9: Monitor and Analyze Engagement

  • Use HubSpot's analytics tools to monitor the engagement levels of your offline event attendees.
  • Analyze open rates, click-through rates, conversion rates, etc., for campaigns specifically targeted towards these attendees to measure ROI and improve future campaigns.

Step 10: Continually Update for Future Offline Events

  • Every time you host a new offline event, repeat this process to keep your CRM up-to-date and to ensure that you're leveraging the power of segmentation for your marketing and sales efforts.
