Step 1: Log in to HubSpot

  • Navigate to your HubSpot account and log in using your credentials.

Step 2: Access Contacts Dashboard

  • On the main navigation bar, click on "Contacts".
  • From the dropdown, select "Contacts" again to access your contacts dashboard.

Step 3: Go to 'Lists'

  • From the left sidebar, click on "Lists".

Step 4: Create a New List (if needed)

  • Click on "Create list" button.
  • Choose between "Active list" or "Static list". For real-time alerts based on ongoing actions, choose "Active list".
  • Name your list and set the criteria for segmentation. For instance, you can segment leads who've visited a specific webpage more than twice.
  • Save the list.

Step 5: Navigate to Settings

  • Click on your profile icon located in the top right corner of the screen.
  • From the dropdown menu, choose "Settings".

Step 6: Access Notifications

  • On the left sidebar under “Notifications”, click on "Email".
  • Scroll until you see "Lead Revisit Notifications".

Step 7: Create a Custom Alert

  • Click on "Create a new notification".
  • Name the alert for easy identification.
  • Choose the list you created earlier from the dropdown menu.
  • Set other specific criteria if needed.

Step 8: Define Alert Triggers

  • Define what actions by the lead will trigger this alert. This could be actions like:
  • When a lead revisits the website.
  • When a lead fills out a specific form.
  • When a lead opens an email.

Step 9: Set Alert Recipients

  • Specify who should receive the alert. This can be individual members of your team, multiple members, or teams.

Step 10: Save and Test

  • Click "Save".
  • It's a good practice to test the alert to make sure it's working as intended. You can do this by replicating the actions you've set as triggers and checking if the alert notification is sent.

Step 11: Adjust as Needed

  • Based on the feedback and the frequency of alerts, you may need to adjust the criteria or list segmentation to ensure you're getting timely and relevant alerts.
